Utilization of effectivity dates
Dates of effectivity are commonly used by manufacturing organizations to be able to define when a component, product, or assembly will be superseded by a new revision, allowing for release dates within Change Orders to be managed efficiently and communicated clearly.
When submitting a Change Order in the Duro application, users have the optional capability of setting an effectivity date range, which depicts how and when a component, product, or assembly will be used for manufacturing. Within this date range, the start date signifies when the new Customer Part Number (CPN) and revision combination will go into effect, thus kickstarting the deployment of the manufacturing process for the new CPN detailed in the Change Order. This new CPN can either be brand new or preexisting within your library. The end date of the effectivity date range signifies the end of use for the original CPN and coordinating revision number in production. It will then be superseded by either a new CPN or a new revision of existing CPN; from this point forward, the old is superseded by the new CPN and revision number.
Users can also override the effectivity dates when their organization wants to use a new part, either a brand new CPN or an existing CPN to be used in the new revision. This communicates to everyone within your organization that the developments (as outlined in the Change Order) can be used until the end date specified.
How to set effectivity date range in Change Orders
Please follow the directions outlined below to set effectivity within Change Orders.
- Login to your Duro account.
- Navigate to the Change Order you would like to add effectivity dates to. There are a few different ways to do this:
- Navigate to a component page, from either your dashboard or component library, then click on the Change Order icon in the upper right toolbar. Click on Add to change order.
- Navigate to a product page, from either your dashboard or product library, then click on the Change Order icon in the upper right toolbar. Click on Add to change order.
- Navigate to your Change Order library, then open an individual Change Order.
- Scroll to the bottom of your dashboard. Click on Create Change Orders.
- Ensure that a Change Order type is selected and that information has been entered for the Name and Description fields. If a component or product is not already linked to the Change Order, add the coordinating components or products.*
- Click on ERP options, located below the Description field.
- Select Set Effectivity.
Before setting effectivity
After setting effectivity - Chose a start date and an end date. Both a start date and an end date are required. The dates must also be chronological, meaning that the end date cannot occur before the start date.
Note: if you do not set both a start and an end date, effectivity will be removed from your Change Order and the modal below will be presented to you. - Optional: select Override Existing.
- Click on Submit for Approval. Or, if the Change Order is not ready for approval, click on Save Draft instead.
*For more information on how to fill out a Change Order, please see our article on Change Orders.
Editing the ERP tile
Once set within the Change Order, the dates will be visible within component or product page's ERP tile as pictured above. A useful functionality of the ERP tile is being able to accommodate manufacturing changes. Consider this example: a company has been notified by their supply chain that there's a flaw in an item and another item needs to be ordered from the listed supplier. This data can be quickly updated by editing the effectivity tile located within the component or product page of the item.
Please follow the steps below to alter effectivity and supplier information within a component or product:
- Navigate to a component or product page, from either your dashboard or component/product library.
- Click on the pencil icon to switch to edit mode.
- Make the desired changes.
- Click Save when complete.
The impact of managing effectivity dates
Now you can edit effectivity dates, supplier data, thus allowing you to roll the revision and conveniently manage your sourcing information. However, the dates are metadata and don't necessarily have to be applied to a new revision number. Other criteria that can be altered within the component or product page during Step 4 above include but are not limited to the following fields: lead time, MPN, cost, component or product details, and component or product specs.
Being able to edit effectivity and supplier information in PLM is a vital Duro benefit. Designers, or any individual managing components and products, can manage sourcing information (i.e., where the item comes from, how much the item costs, lead time, etc.) before a Change Order is approved or submitted. This PLM functionality empowers Duronauts to manage their supply information, set effectivity, and communicate Change Orders through the rest of their organization without an Enterprise Resource Planning (ERP).
Pro tips
The effectivity status is also visible from the history table. To view this, simply click on the history icon located in the upper right toolbar of the component or product page. Effectivity will show in the Details column.
