Objective: To learn how to update the sourcing of your components and to better understand the functionality of the import sourcing module.
Difficulty: Easy
In this article:
As your component designs evolve, you'll need to update sourcing information within Duro, such as pricing, packaging quantities, and lead times. When updating existing components via spreadsheet import, you may encounter apparent value duplications between your spreadsheet and Duro's existing data. This article clarifies the role of different part numbers (CPNs, MPNs, and DPNs), outlines the bulk component update process, and explains potential warnings and errors to ensure a successful library update.
Validation update
As your products and components progress through the different lifecycle stages, you'll naturally end up updating various criteria fields whether that pertains to unit price, package quantity, minimum quantity, or quote lead time. When importing new values into Duro for existing components and products, you may find that your spreadsheet has duplicate values when compared to what already exists within Duro.
If the same item exists in your imported spreadsheet more than once, you can decide whether this is an error. Instead of sending you a duplicate CPN error message, the import wizard will present you with an option: is this correct or does this need to be corrected? Are you updating existing components or is what's in the spreadsheet an error? Duro empowers our users to decide which option makes the most sense for them and their company.
Note: this only pertains to when you're updating existing components with a spreadsheet, not creating new components.
MPN, DPN, and CPN
Before diving into your role in the update, we have to cover the differences between each part number type. Manufacturer Part Numbers (MPNs) are assigned to an item by the manufacturer whereas Distributor Part Numbers (DPNs) are assigned to an item by the distributor. If an item's distributor and manufacturer are the same, the value sets of DPN and MPN may also be the same. MPNs and DPNs are only used for purchased parts.
Customer Part Numbers (CPNs) are part numbers created and assigned by Duro to ensure uniqueness for all components added to Duro. Many parts are made in-house and must have their own numbering system—CPNs satisfy this requirement. Therefore, if the product or component was made in-house, your item may only have a CPN, not an MPN or DPN.
When importing data into Duro, the CPN category is critical, whereas MPN and DPN are additional fields that aren't always necessary. Duro recognizes that the CPN of the existing component could be the same as the existing MPN in the spreadsheet that you are updating your library with.
Bulk update/import component sourcing
For detailed instructions on updating the sourcing information of existing components in the Duro app, please follow the instructions below.
- Sign in to your Duro account.
- Select Components from the left navigation.
- Click on the Import from File icon. This will automatically populate the "Import Components from a File" module.
-
Prepare your BOM. If importing multiple sources for the same component, ensure each line item has the same CPN.
-
New BOM: If you're starting from scratch, select the appropriate template from the "Need a Template?" section of your module and fill out the required fields:
-
Existing BOM: Conversely, you can use a previously created BOM if you have one. Carefully review and make any necessary changes.
-
Update your BOM: Fill out the spreadsheet with the updated sourcing data. Although only the Manufacturer Part Number (MPN) field is required when importing sourcing data, include as many of the following fields as possible:
- MPN
- Manufacturer
- Mfr Description
- Datasheet
- DPN
- Distributor
- Dist Description
- Package
- Package Quantity
-
- Drag files to upload or browse your computer to upload from a file (xlsx, csv). This action will automatically populate a module titled Map your Fields to Duro.
- Ensure that the labels in your file correspond to the correct labels within Duro. You can select different labels in the dropdown menu of each row.
- Click on Continue when you're done mapping headers.
- Review your import. For information on error and warning messages, see the next section.
- Click Continue to finish updating your component library.
Warning icons and banners
This section summarizes some of the possible errors and warning messages in the Review Your Import module triggered after uploading a spreadsheet with incorrect values. This includes listing duplicate values.
Sourcing combination warning
You'll see a sourcing warning notification if your spreadsheet has a row that's a duplicate of existing information (i.e., the sourcing combination is the same). This is a permissible action and will simply override what's already in the system, thus updating your component library with new information.
The warning message (pictured below) will show on all four of the sourcing combination components: CPN, MPN, DPN, and minimum quantity. If these items match what exists in your library and what's in your spreadsheet, the component information in your library will be updated to match the spreadsheet. If the sourcing combination is not a match, then the data from your spreadsheet will add a line to the existing sourcing page of the component in Duro.
This warning message will show on all four components of the sourcing combination.
Note: Yellow circles represent warning messages, and red triangles depict error messages. Warning messages do not have the same impact as error notifications; they simply alert you to duplicate values. Allowing or rejecting this is your choice.
Duplicate CPN warning
If you enter duplicate CPN values, a yellow circle will appear on the right side of the cell under the CPN column. Additionally, when you hover your cursor above the cell, you will be presented with one of the following messages that read "Duplicate CPN found" as depicted below.
Duplicate MPN warning
If you're updating an existing component with the correct sourcing combination, the import wizard will recognize that you're updating an existing component. However, you'll get an error message reading "Duplicate MPN found in file" if you try to add an MPN to more than one component, as shown below.
Duplicate DPN warning
If you enter duplicate DPN values, a yellow circle will appear on the right side of the cell under the DPN column. Additionally, when you hover your cursor above the cell, you will be presented with a warning message that reads "This sourcing combination already exists in this component" as depicted below.
Duplicate Min Quantity warning
If you enter duplicate Minimum Quantity values, a yellow circle will appear on the right side of the cell under the Minimum Quantity column. When you hover your cursor above the cell, you will be presented with a warning message that reads "This sourcing combination already exists in this component" as depicted below.
